South West Support Ltd ("SWS", "we", "us") provides IT support, cybersecurity, and AI consultancy services to care homes and other businesses across the South West of England.

South West Support Ltd is a company registered in England and Wales, based in Taunton, Somerset.

2. The information we collect

When you use our contact form or get in touch with us directly, we may collect:

  • The name of your care home or organisation
  • Details you choose to share about your IT setup, challenges, and requirements
  • How you heard about us

We do not collect any special category (sensitive) personal data through this website, and we ask that you do not include information about identifiable residents or their care in your enquiry.

3. How we use your information

We use the information you provide to:

  • Respond to your enquiry and arrange your Care-Tech Audit
  • Prepare proposals and provide the services you have asked about
  • Keep records of our correspondence

Our lawful basis for this processing under UK GDPR is our legitimate interest in responding to enquiries you have chosen to send us and, where applicable, taking steps at your request before entering into a contract. We do not use your information for automated decision-making, and we will not add you to a marketing list without your consent.

4. Who we share it with

We do not sell or rent your personal information. We share it only with service providers who help us run this website and our business:

  • FormSubmit — processes our contact form submissions and delivers them to our inbox.
  • Google Fonts — this website loads fonts from Google's servers, which means your IP address is disclosed to Google when the page loads. See Google's privacy policy.
  • Our email and IT providers, who store our business correspondence.

Where a provider processes data outside the UK, we rely on the safeguards available under UK data protection law, such as adequacy decisions or standard contractual clauses.

5. How long we keep it

We keep enquiry details for as long as needed to deal with your enquiry and for up to 24 months afterwards, in case you return to us. If you become a client, we keep your information for the duration of our relationship and as required by law (for example, accounting records). You can ask us to delete your enquiry details at any time.

6. Cookies and analytics

This website does not set cookies and does not use analytics or tracking tools. If that changes, we will update this policy and, where required, ask for your consent first.

7. Your rights

Under UK GDPR you have the right to:

  • Access a copy of the personal data we hold about you
  • Ask us to correct inaccurate data
  • Ask us to delete your data
  • Object to or ask us to restrict our processing
  • Data portability, where applicable
